Overview

Workflow Studio is an enterprise workflow design and orchestration experience that enables organizations to create, configure, and manage operational workflows through a flexible visual interface.

The platform supports business users in designing process flows, configuring workflow logic, and automating operational activities while maintaining visibility and control over complex processes.

As Lead UX Designer, I contributed to the evolution of workflow creation experiences focused on improving usability, simplifying complexity, and supporting scalable enterprise workflows.

The Challenge

Challenge

Enterprise workflow builders often become difficult to use as workflows grow in size and complexity.

Users needed to:

  • Create workflows efficiently

  • Understand workflow structures quickly

  • Configure complex logic without confusion

  • Manage large process flows

  • Maintain visibility and control throughout workflow creation

The challenge was to explore ways of making workflow authoring more intuitive while supporting the flexibility required by enterprise-grade workflow systems.

My Role

My Role

As Lead UX Designer, I worked closely with Product Managers, Engineers, Architects, and stakeholders to:

  • Facilitate discovery activities

  • Analyze workflow creation challenges

  • Improve workflow usability

  • Explore future-state concepts

  • Define scalable UX patterns

  • Create prototypes and interaction models

  • Support design system alignment

Discovery & Research

Understanding Workflow Complexity

To better understand workflow creation challenges, I participated in:

  • Stakeholder workshops

  • Workflow analysis sessions

  • Concept reviews

  • Competitor benchmarking

  • Research synthesis activities

  • Usability reviews

The goal was to identify opportunities to improve workflow clarity, reduce complexity, and create a foundation for scalable workflow design experiences.

Design Approach

Design Principles

Simplicity

Reduce complexity through progressive disclosure and clear workflow structures.

Visibility

Ensure users can easily understand workflow behavior and relationships.

Consistency

Create reusable patterns that support scalable workflow experiences.

Flexibility

Allow workflows to accommodate a wide range of business requirements without sacrificing usability.

Solution Exploration

Designing Better Workflow Experiences

Multiple concepts were explored to improve:

  • Workflow creation

  • Node configuration

  • Workflow navigation

  • Process visualization

  • Information hierarchy

  • Error prevention

  • User guidance

Prototypes were used to validate concepts and evaluate interaction models for future workflow experiences.

Outcomes

Outcomes

The initiative helped:

  • Establish UX foundations for workflow authoring experiences

  • Improve workflow visibility and clarity

  • Define reusable interaction patterns

  • Support design system consistency

  • Reduce perceived workflow complexity

  • Create a shared vision across design, product, and engineering teams

The work contributed to broader efforts aimed at improving enterprise workflow automation experiences and enabling more intuitive workflow creation.

Key Learnings

Key Learnings

Enterprise workflow systems require a careful balance between power and usability.

The project reinforced the importance of:

  • Reducing cognitive load

  • Designing for scalability

  • Supporting user confidence

  • Creating reusable workflow patterns

  • Aligning design systems with workflow experiences

Successful workflow design is not only about visualizing processes but also about helping users understand and manage complexity effectively.
